# The 37-Point Cold Email Pre-Send Checklist (With a Free Tool That Runs Most of It)

Campaigns rarely fail on strategy; they fail on the launch day details nobody checked: a merge tag pointing at a column that does not exist, 300 duplicates from an overlapping export, a tracking domain that was never set up, follow-ups that will triple daily volume in week two. This is the complete pre-send checklist we run before every campaign, list, copy, infrastructure, sequence settings, and volume, and the free tool that automates the mechanical half.

## Quick Answer: The Five-Layer Pre-Send QA

Check in this order: **list** (verified, deduped, suppressed, collision-free), **personalization** (tags matched, blanks counted, fallbacks read naturally), **copy** (spam scan, minimal links, valid spintax), **infrastructure** (auth passing, tracking domain set, inboxes ready), **volume** (follow-up accumulation modeled, completion date sane). The [free Pre-Send Checker](https://warminboxes.com/pre-send-checker) automates roughly 25 of the 37 points in one pass, in your browser.

## The Full 37 Points

Layer 1: The list (10 checks)
1. Verified within the last 30 days
2. Zero duplicate emails
3. Suppression list checked (customers,
unsubscribes, bounces, past campaigns)
4. Previously contacted COMPANIES excluded
(domain-level, not just email-level)
5. No company gets more than 2-3 contacts
6. Role addresses (info@, sales@) stripped
or deliberately kept for local biz
7. Disposable domains removed
8. Malformed addresses removed
9. Catch-all slice quarantined into its own
campaign with tighter bounce stops
10. Every enrichment column you reference
actually populated (check blank %)

Layer 2: Personalization (7 checks)
11. Every {{variable}} has an exact-match
CSV column (casing and spaces included)
12. Blank counts known for every variable
13. Fallbacks on every variable with blanks
14. Sentences read naturally with fallbacks
fired (read them out loud)
15. No foreign syntax (*|FNAME|*, %var%)
16. First names title-cased, no "JOHN"
17. Company names cleaned of Inc/LLC/GmbH
where the sentence needs the short form

Layer 3: Copy (7 checks)
18. Spam-term scan on subject AND body
19. Zero links in step 1 (or a conscious
exception with a custom tracking domain)
20. No tracking pixel / open tracking on
cold volume
21. No images, no HTML tables, plain text
22. Spintax braces balanced, no empty options
23. Subject under 6 words, lowercase-casual
beats Title Case in most niches
24. One ask per email, reply-able in one line

Layer 4: Infrastructure (7 checks)
25. SPF passing on every sending domain
26. DKIM signed with the right selector
27. DMARC present (p=none minimum)
28. Custom tracking domain (if tracking at all)
29. Inboxes warmed 14-21 days, or prewarmed
30. Sending domains are NOT your main domain
31. Forwarding from sending domains to your
main site works

Layer 5: Volume and settings (6 checks)
32. Daily per-inbox limit set (20-30 cold)
33. Follow-up accumulation modeled: peak
daily volume known, not just day 1
34. Campaign completion date acceptable
35. Stop-on-reply enabled across ALL steps
36. Sending window matches recipient
timezones, weekdays only to start
37. Bounce-stop rule set: pause at 3-5%
hard bounces, investigate before resuming

## What the Tool Runs vs What You Run

Points 2, 5, 6, 7, 8, 10, 11, 12, 13, 15, 18 (light pass), 19, 20, 21, 22, 32, 33, and 34 are mechanical comparisons between your CSV, your sequence text, and your settings, exactly what the [Pre-Send Checker](https://warminboxes.com/pre-send-checker) automates in one upload-and-paste pass, including the day-by-day volume simulation that almost nobody does by hand. Points 3 and 4 are the [Suppression Checker's](https://warminboxes.com/suppression-checker) job. Auth checks (25-27) run in the [Deliverability Checker](https://warminboxes.com/deliverability-checker), and the deep copy scan (18) in the [Spam Checker](https://warminboxes.com/spam-checker).

- •**The checks only you can run:** send a live test from the real campaign to your own Gmail and Outlook, click every link, read the message as the recipient. Verify the offer is concrete. Confirm whoever monitors replies is actually watching this inbox. No tool substitutes for receiving your own email cold.
- •**Sequence the layers:** list before personalization (tags cannot be checked against a list that is still changing), copy before infrastructure (no point warming inboxes for a sequence that gets rewritten), volume last (it depends on the final list size and step count).
- •**Make it a gate, not a suggestion:** the campaign does not launch until the checker shows zero blockers. Warnings are judgment calls; blockers, missing columns, duplicates, broken spintax, are visible-to-prospects failures with no upside.

**Why 37 points and not 10:** because the ten obvious ones are not where campaigns die. Everyone checks the copy; almost nobody models follow-up accumulation, counts blank cells per merge variable, or suppresses by company domain. The exotic-sounding checks exist because each one is a failure we have personally shipped at some point across 1M+ sends a month. The checklist is the scar tissue.

## Frequently Asked Questions

### What should I check before launching a cold email campaign?

Five layers, in order: the list (verified recently, deduplicated, suppression-checked, role and disposable addresses handled, per-company contact limits enforced), the personalization (every merge tag matched to a real column, blank counts known, fallbacks tested in-sentence), the copy (spam-term scan, link policy, no tracking pixels, spintax validated), the infrastructure (SPF/DKIM/DMARC passing on every sending domain, custom tracking domain configured, inboxes warmed or prewarmed), and the volume plan (daily sends within per-inbox limits including follow-up accumulation, campaign completion date acceptable). Most launch failures live in the gaps between these layers because each one is usually owned by a different tool.

### How is a pre-send checker different from a spam checker?

A spam checker examines one thing: the words in your copy. A pre-send checker examines the campaign: whether your merge tags match your actual CSV, whether your list has duplicates and role addresses, whether your spintax is valid, how many links you are sending, and what your real daily volume will be once follow-ups stack. Spam words are maybe a tenth of what breaks campaigns; the rest is mismatches between components that each look fine alone. Run both: the spam checker on the copy, the pre-send checker on the campaign.

### How long should a pre-send QA take?

With tooling, under ten minutes: two or three minutes for the automated checks (upload CSV, paste sequence, read the report), five for the human checks a tool cannot do, sending yourself a live test from the actual campaign, clicking every link, reading the copy with fallbacks fired, confirming the offer is one a stranger can say yes to. Without tooling it is an hour of spreadsheet work, which is why it gets skipped, which is why campaigns launch broken. Automate the mechanical layer and the human layer actually happens.

### What is the most commonly skipped check?

Follow-up volume math. Everyone plans day 1: contacts divided by daily capacity, looks fine. Almost nobody models day 10, when step 2 and step 3 are firing on earlier cohorts while new leads still enter, and actual daily volume is double or triple the plan. The result is either blown per-inbox limits (deliverability damage) or a sequencer silently throttling and stretching the campaign months past the expected end. Simulate the full sequence day by day before launch; our Pre-Send Checker does this automatically from your list size, step count, and gap days.

### Should I run the checklist on follow-up steps too, or just the first email?

Every step, always. Follow-ups break exactly as often as first touches, a merge tag that only appears in step 3, a link added to the bump email, spintax pasted into the breakup step, but they break later, after the campaign looks healthy, which makes the damage slower to notice. The checklist cost is identical (paste all steps, separated by ---, into the checker at once) and the failure it prevents is the one your metrics dashboard is worst at catching.
