# MXToolbox vs Google Postmaster Tools: They Answer Completely Different Questions

Operators keep comparing these two as if they compete. They do not overlap at all: MXToolbox inspects your DNS and blocklist status from the outside, Postmaster Tools reports how Gmail specifically experiences your mail from the inside. You need both, for different jobs, and confusing them leads to fixing the wrong thing.

![MXToolbox and Google Postmaster Tools answer different deliverability questions]()

## Quick Answer: Configuration Checker vs Gmail's Own Verdict

**MXToolbox = outside-in:** are your DNS records right, are you on public blocklists. **Postmaster Tools = inside-out:** Gmail's own report of your spam rate, reputation, and auth pass rates, data only Google has. Use the first at setup and during incidents, the second continuously on every sending domain. When Gmail placement drops with clean MXToolbox results, the answer is in Postmaster, not in re-checking DNS a fifth time.

## Two Instruments, Two Layers

What each can and cannot see
QUESTION MXTOOLBOX POSTMASTER
Is my SPF/DKIM/DMARC configured? ✓ ~ (pass
rates only)
Am I on public blacklists? ✓ ✗
Is my DNS syntax broken? ✓ ✗
What is my Gmail spam rate? ✗ ✓
Gmail domain/IP reputation? ✗ ✓
Why is Gmail junking clean mail? ✗ ✓ (mostly)
Microsoft's opinion of me? ✗ ✗ (SNDS,
separate)

Setup + incidents → outside-in checks
Always → Postmaster, every domain

The mistake this table prevents: a sender in Gmail's junk folder runs MXToolbox, sees all green, and concludes deliverability is fine, so the problem must be copy. But outside-in tools verify configuration, not reception. Gmail junks perfectly configured mail daily for reputation and engagement reasons that only surface in Postmaster's panels (and in [seed testing](https://warminboxes.com/blog/build-your-own-inbox-placement-seed-list)). The reverse mistake exists too: chasing Postmaster reputation while an expired DKIM key sits broken in DNS, which any outside-in check would have caught in seconds.

## The Working Routine

- •**Provisioning a domain:** outside-in checks until green (our [Deliverability Checker](https://warminboxes.com/deliverability-checker) covers auth, MX, blacklists, and age in one pass; the [SPF Checker](https://warminboxes.com/spf-checker) catches the 10-lookup trap), then register it in Postmaster before the first campaign send.
- •**Weekly:** Postmaster spam rate and reputation per domain (hard line at 0.3%, target under 0.1%, the [recovery playbook](https://warminboxes.com/blog/google-postmaster-spam-rate-recovery) covers breaches), plus your [blacklist sweep](https://warminboxes.com/blacklist-checker).
- •**Incidents:** both at once, outside-in to rule out configuration and listings, Postmaster to read Gmail's reaction, and seeds to see folders directly. Triangulation beats any single instrument.
- •**Microsoft note:** neither tool covers it; Microsoft SNDS plus your M365 seed accounts are that side's equivalents.

**File this under instrument literacy:** most "which tool is better" debates in deliverability dissolve once you ask what layer each measures. Configuration, public reputation, receiver verdict, and actual folder placement are four different layers, and MXToolbox and Postmaster each own one apiece. Operators who triangulate across layers diagnose in minutes what single-instrument operators argue about for weeks.

## Frequently Asked Questions

### What is the difference between MXToolbox and Google Postmaster Tools?

MXToolbox is an outside-in diagnostic: it queries public DNS and blocklists to tell you whether your records (MX, SPF, DKIM, DMARC) are configured correctly and whether your domain or IP appears on public blacklists. Postmaster Tools is inside-out: Google's own reporting on how Gmail treats mail from your domain, spam complaint rate, domain and IP reputation, authentication pass rates, and delivery errors, data that exists nowhere else because only Google has it. One checks your configuration; the other reports one receiver's verdict.

### Which should I use for cold email?

Both, for different jobs. MXToolbox (or our free equivalent checkers) at setup time and whenever something breaks: verifying records exist, catching blocklist entries, diagnosing DNS mistakes. Postmaster Tools continuously: register every sending domain and watch spam rate and reputation weekly, because those numbers are Gmail telling you directly how the relationship is going. Neither substitutes for the other, MXToolbox cannot see Gmail's opinion of you, and Postmaster cannot see a broken DKIM record's syntax.

### Can MXToolbox tell me why Gmail is junking my mail?

Only indirectly. If MXToolbox shows a blocklist hit or broken authentication, that is likely contributing. But mail with perfect DNS and zero blocklist entries goes to Gmail spam constantly, for reputation, engagement, and content reasons that live inside Google's systems. That is exactly the gap Postmaster fills: spam-rate and reputation panels show Gmail's actual scoring. Diagnosing Gmail placement from MXToolbox alone is reading the weather from your barometer while ignoring the window.

### Does Postmaster Tools work for low-volume cold email domains?

Partially: panels only render above minimum volume thresholds, so a fleet of many low-volume domains shows sparse data per domain. Register them all anyway, intermittent readings beat blindness, and any visible spike is real. Below the threshold, your proxies are seed placement, reply rate by provider, and bounce messages, the same triangulation covered in our monitoring posts.

### Are there free alternatives to MXToolbox for the DNS side?

Yes, ours: the Deliverability Checker grades SPF, DKIM, DMARC, MX, blacklists, and domain age in one pass; the SPF Checker walks the recursive lookup tree with the 10-lookup meter; the DKIM checker scans 26 selectors; the Blacklist Checker covers 20+ lists. MXToolbox remains excellent, particularly its SMTP diagnostics, but for the routine cold email checks the free stack covers the ground.
