The exact structure, copywriting rules, and templates behind cold emails that get 10%+ reply rates, from a team that sends over 1M cold emails a month. Includes where to find templates worth stealing and the mistakes that guarantee silence.

Cold emails that get responses follow the same skeleton: a trigger-based opener (why them, why now), one sentence of relevance, one specific value claim, one line of proof, and a low-friction question, all in under 120 words, sent from a properly warmed domain. Everything else in this guide is how to execute each part well.
Here's the uncomfortable truth nobody selling copywriting courses mentions: the best-written cold email in the world gets a 0% reply rate from the spam folder. Before you rewrite a single line, confirm your emails actually reach inboxes. Run your sending domain through a deliverability check, if SPF, DKIM, or DMARC are failing, fix those first. Copy optimization on top of broken infrastructure is rearranging deck chairs.
Assuming your infrastructure is clean, copy becomes the biggest lever you control. Here's how to pull it.
Your subject line has one job: get the open without poisoning the reply. Curiosity-gap subjects ("you won't believe this...") get opens and destroy trust. Fake replies ("RE: our meeting") get opens and destroy your domain when people mark them as spam, it's also illegal under CAN-SPAM's deceptive-subject rule.
The first line appears next to your subject in the inbox preview, which makes it a second subject line. "My name is Alex and I'm reaching out from..." wastes it, they can see your name. The first line's job is to prove this email was written for them specifically.
The strongest first lines reference a trigger, an observable event that makes your email timely: a funding round, a hiring spree, a new product launch, a job posting, a podcast appearance, a competitor's move. Triggers answer the prospect's first silent question: "why me, why now?"
"Saw you're hiring 3 SDRs this quarter, usually means outbound is about to scale."
"Noticed {{company}} just launched in the UK. Localizing outreach across regions is usually where deliverability breaks."
"Your post about churn in PLG companies hit home, we see the same pattern from the email side."After the opener, you have roughly three sentences before attention dies. Spend them in this order:
"Do you have 15 minutes Tuesday at 2pm?" is a heavy ask from a stranger. It demands calendar math, commitment, and trust you haven't earned. Interest-based CTAs consistently outperform meeting asks in first-touch emails:
"Worth a look?" "Open to seeing how that works?" "Is deliverability something you're thinking about this quarter?" "Want me to send over the 2-line breakdown?"
Once they reply, even a "sure, send it", the second email earns the meeting ask. Two-step asks feel slower but book more meetings per hundred sends.
Sending identical bodies to a thousand people is a spam-filter fingerprint and a prospect turn-off. You need two layers: variables ({{first_name}}, {{company}}, custom trigger lines) and spintax (rotating synonyms so no two sends are identical). Both break silently, a missing variable ships "Hi ," and a malformed spintax ships literal braces.
Test every sequence in our Spintax & Liquid Tester before it goes live, it counts your variations and flags every variable missing a fallback. For the full personalization strategy, see our personalization guide.
Everyone asks where to find templates. The honest answer: templates are everywhere, our own template library, sequencer galleries inside Instantly and Smartlead, books like the Cold Email Manifesto, and endless LinkedIn threads. The problem isn't finding templates; it's that popular templates die from overuse. Thousands of people copy the same "quick question" email until every filter and every prospect has seen it.
Subject: quick question about {{company}}
Hi {{first_name}},
Saw you're hiring 3 SDRs this quarter, usually means outbound is about to scale.
Most teams that scale hit spam-folder problems by month two: new domains, no warm-up, reply rates fall off a cliff.
We give teams prewarmed inboxes that land in the primary inbox from day one, 200+ agencies send 1M+ emails/month through them.
Worth a look?
AlexNotice what's absent: no "I hope this finds you well", no company biography, no feature list, no calendar link, no attachment. Every sentence survives the "so what" test, and the whole email reads in fifteen seconds.
Across well-run campaigns, 3-8% is solid and 10%+ is excellent. Reply rate depends on list quality and deliverability as much as copy, a perfect email that lands in spam gets a 0% reply rate, which is why infrastructure and copy have to be fixed together.
Between 50 and 120 words. Under 50 words often lacks a reason to reply; over 150 words reply rates fall measurably. Every sentence should earn its place: one relevance line, one value statement, one proof point, one question.
Use a proven structure, not a copied template. Templates that circulate publicly get pattern-matched by spam filters and recognized by prospects. Steal the framework (trigger → relevance → value → proof → question) and rewrite every line in your own words for your own offer.
An interest-based question beats a calendar ask. 'Worth a look?' or 'Open to seeing how that works?' converts better than 'Do you have 15 minutes Tuesday?' because it asks for interest, not time. Ask for the meeting in the second exchange, after they've replied.
Opens with no replies almost always means a copy problem: the email is about you instead of them, the ask is too heavy, or there's no specific reason a reply benefits them. If opens are also low, the problem is deliverability or subject lines instead, check your domain with a deliverability test first.
